2. Hosting and server log files
The website runs on servers in a data centre of Hetzner Online GmbH (Industriestr. 25, 91710 Gunzenhausen) in Germany. The servers are operated on our behalf by planGIS GmbH (Friedhofstraße 45a, 26789 Leer).
When you visit the website, the server processes technically necessary data: IP address, date and time, page visited, referrer URL and browser identifier. We use them to deliver the website, ensure its security and fix errors. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in secure and stable operation. The log data is deleted automatically after 14 days unless it is needed longer to investigate a specific security incident.
We transmit requests from search engine crawlers and AI services (recognisable by their browser identifier), with time, requested URL, status code, browser identifier, IP address and referrer, to Peec AI GmbH (Karl-Liebknecht-Straße 14, 10178 Berlin) in order to analyse which search engines and AI services access the website. Requests from visitors are not transmitted. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in the website being found. Peec AI processes the data on our behalf and deletes it after 30 days.
3. Cookies, Google Analytics and fonts
Without your consent, the public pages of windiq.de set no cookies and load no analytics tools. The fonts are hosted on our own server and are not loaded from Google.
Google Analytics
If you choose “Accept” in the notice, we use Google Analytics 4 from Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland) to understand how the website is used: pages visited, time spent, origin of the visit, device, browser and approximate region. For this, cookies (_ga, _ga_<ID>) are set and usage data is transmitted to Google; a transfer to the USA is possible, Google is certified under the EU-US Data Privacy Framework. Google Analytics 4 does not store IP addresses. Google keeps the usage data for 14 months; the cookies last for up to two years. The legal basis is your consent (Art. 6(1)(a) GDPR, § 25(1) TDDDG).
You can withdraw your consent at any time via “Cookie settings” at the bottom of every page; the Analytics cookies are then deleted. We store your choice in your browser’s local storage (§ 25(2) no. 2 TDDDG).
4. Waitlist
If you sign up for the waitlist, we process your email address and, if provided, first name, last name, company, phone number and job title, as well as the source of the sign-up (for example a trade fair QR code) and the time.
Purpose and legal basis
We inform you by email about the launch of WINDIQ, new features and events. We use your job title to tailor this information to your role. If you provide your phone number and agree to the call, we may call you to offer a personal onboarding. The legal basis is your consent under Art. 6(1)(a) GDPR.
To protect against misuse, we check whether the domain of your email address exists and limit the number of sign-ups per IP address; for this, the IP address is processed only in memory and is not stored with your sign-up. The legal basis is Art. 6(1)(f) GDPR.
Sending emails and recipients
After signing up, you receive a confirmation email from noreply@windiq.de. At the same time, we notify the WINDIQ team of the new sign-up by email. For sending, we use Microsoft 365 from Microsoft Ireland Operations Limited (One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland). A transfer to the USA cannot be ruled out; Microsoft is certified under the EU-US Data Privacy Framework.
Your details are stored in a database on the servers in Germany named in section 2. The assessor firms do not receive your waitlist data.
Storage period and withdrawal
You can withdraw your consent at any time, via the unsubscribe link in every email or by email to support@windiq.de. After unsubscribing you will no longer receive emails; we keep the entry as proof of consent and withdrawal for three years from the end of the year in which you unsubscribed (Art. 6(1)(f) GDPR). Otherwise, we store your details until the launch of WINDIQ and delete them no later than 6 months afterwards, unless you have created a user account.
5. Contact by email and contact form
If you write to us by email or using the contact form, we process your details to answer your enquiry (Art. 6(1)(b) or (f) GDPR) and delete them when they are no longer needed for this purpose and no statutory retention obligations apply.
For the contact form, these are your name, your email address, your message, your company and a subject if provided, your phone number if you ask for a call back, and the time. We store the message in a database on the servers in Germany named in section 2 and forward it by email to the WINDIQ team; you receive a confirmation of receipt from noreply@windiq.de. For sending, we use Microsoft 365 (see section 4). To protect against misuse, we limit the number of messages per IP address; for this, the IP address is processed only in memory and is not stored with your message (Art. 6(1)(f) GDPR).
6. Links to assessor firms
The website links to the websites of the assessor firms. Only when you click such a link do you reach their website; their privacy policy applies there.
7. Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on Art. 6(1)(f) GDPR (Art. 21). You can withdraw consent at any time with effect for the future (Art. 7(3) GDPR).
